We are currently looking for a rockstar Senior Executive Assistant to be the air traffic controller and supportive force that empowers our senior leadership. The ideal person for the job will be a proactive problem solver with exceptional coordination and communication skills, and a meticulous attention to detail. He/She will have previous experience working in an office or geographically distributed office environment, performing sophisticated administrative duties and providing support to management. Given the changing nature of the executive landscape, we rely on our assistant for flexibility and foresight, and taking initiative while maintaining confidences related to high-level systems and operations. The successful Senior Executive Assistant will possess the following characteristics: has a servants heart, has personalized expertise, masters the calendar, anticipates need, prioritizes the personal, knows when to and is willing to push back, creates and master systems, knows what's on the plate, keeps confidentiality has amazing communication skills. Knowledge of and experience with blockchain and/or digital assets is a plus.

The Senior Executive Assistant position works remotely and along side the CEO at the company headquarters in Dorado, PR. Must have own vehicle.

Objectives

With a primary responsibility of supporting the CEO, the Senior Executive Assistant provides support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.

Maintains and refines internal processes that provide support to the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow.

Manages communication between upper management and employees, liaising with internal and external stakeholders on various projects and tasks.

Plans and orchestrates work to ensure the senior executives' priorities are met, organizational goals are achieved, and best practices are upheld.

Facilitates and supports management of the CEO's personal affairs.

Daily and Monthly Responsibilities

Manages professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.

Coordinates complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.

Manages, coordinates, and arranges senior executives' travel and travel-related activities, including hotel booking, transportation, and meal coordination.

Performs administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database.

Maintains professionalism and strict confidentiality with all materials, and exercises discretion when interfacing with the business.

Organizes team communications and plans events, both internally and offsite.

Enhances executive's effectiveness by providing information management support; representing the executive to others.

Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

Represents the executive by attending meetings in the executive's absence; speaking for the executive when requested.

Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

Maintains customer confidence and protects operations by keeping information confidential.

Completes projects by assigning work to clerical staff; following up on results.

Prepares reports by collecting and analyzing information.

Secures information by completing database backups.

Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

Contributes to team effort by accomplishing related results as needed.

Skills and Qualifications

5+ years experience in a senior administrative role reporting directly to upper management.

Superb written and verbal communication skills, in both English and Spanish.

Strong time-management skills and the ability to organize and coordinate multiple projects at once.

Proficiency in G-Suite, Microsoft Office, Monday, and other office productivity tools, with aptitude to learn new software and systems.

Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.

Able to work under pressure and multitask competing priorities.

Quick study, self-initiated and directed, self-aware, and able to hit the ground running.

Ability to keep company confidences.

Emotionally intelligent, confident, and grounded.

Typing speed of 60wpm or greater.

Preferred Qualifications

Experience overseeing budgets and expenses.

Experience with project management.

Experience developing internal processes and filing systems.

Experience teaching Spanish.
