Job Description: PeopleScout is currently hiring an Executive Assistant to support several members of our Executive Leadership Team. As an Executive Assistant, you will be responsible for performing specialized and complex office administrative work requiring the use of independent judgment. This will require the organization of your own work, coordination of projects, setting priorities, meeting deadlines, and following up on assignments with minimal direction. Communicating exceptionally with colleagues, executives, clients, industry analysts and representatives from other companies is the main part of this role. Being adaptable and flexible to changing priorities is key to this position. To perform this job successfully, an individual must be an experienced administrative professional. This individual should take initiative in handling travel, expenses, and report creation as well as enjoy working autonomously. They must also be an eager team player who will proactively seek out work and maintain high levels of discretion and confidentiality. Interest in providing high-level support to an executive is essential. This position will be located at our corporate office at 860 W. Evergreen Chicago, IL 60642. The regular schedule for this position is Monday - Friday from 8 am 5 pm. Extended hours will be required based on workload or special projects. Average hours per week 45-50. Occasional travel may be required. What you'll do:Complete administrative tasks, including, but not limited to arranging travel, expense reports, and meeting preparation/set up.Manage e-mail and calendar of the executive(s), especially meetings and items that require attention; make changes quickly based on business need.Act as an extension to the executive(s); represent the executive(s) and our company with the utmost professionalism and highest standard of ethics.Be a strategic partner and understand the business goals and strategic priorities of each supported executive and help to push them forward proactively.Create PowerPoint presentations for various audiences and update recurring documents used in meetings.Manage project items on behalf of the executive, including tracking of project lists and follow up.Create and modify data in Excel spreadsheets including, use of formulas, pivot tables, and V-Look Up.Provide coverage and backup support for other EAs when necessary to ensure seamless support. What you bring to the table:Required: Experience in booking travel and handling expensesRequired: 5-7 years strong Administrative Support experience.Strongly Preferred: Previous Executive Assistant Experience for VP and aboveStrongly Preferred: Experience supporting multiple executives simultaneously and ability to balance competing priorities accordingly.Strongly Preferred: Previous experience working in recruiting, staffing and/or RPO environment.Preferred: Bachelor's DegreePreferred: Previous report writing/creating/proofreading experienceAbility to maintain a high level of confidentiality and discretion.Flexible in making adjustments and decisions to meet the needs of the executive(s).An eye for details with high accuracy, excellent writing and grammatical skills and the ability to proofread documents and presentation materials.Ability to communicate (written & verbal) and collaborate effectively with a range of individuals from entry-level to senior leadership.Ability to manage multiple projects effectively, meet tight deadlines, work with a high degree of independence and proactively seek out additional work after completing projects.
